DAYS UNTIL
GO-LIVE: 11
Tuesday, April 17, 2018
We’re now less than two weeks out, but don’t despair—your UConn HealthONE Go-live Survival Guide is here!
Share, print, and keep handy as April 28 approaches to ensure you and your peers will be adequately prepared for our upcoming transformation. For questions or concerns, please send an email to the designated email addresses listed in the survival guide.
When we go live, ensuring that patients are moved electronically in HealthONE will ensure continuity of care across the system.
Though most end users covered patient movement during HealthONE training, we are now offering HealthONE Fairs to demonstrate these capabilities and answer your questions.
Additionally, a patient movement guide has been developed to assist users through the patient movement process. You’ll see a walkthrough of both common and complex patient movement workflows.
To ensure all end users are equipped with tools to succeed at go-live, the patient movement guide will be available within the learning home dashboard in HealthONE. During go-live, please reference this guide to assist you with the patient movement process. If you need assistance finding this guide, please ask your at-the-elbow support or super user for assistance.
CPMRS/CTPMP Integration with HealthONE
Several providers have recently written to ask about a recent CT state Prescription Monitoring Program (CTPMP) initiative, related to the integration of the Connecticut Prescription Monitoring and Reporting (CPMRS) system into electronic medical records.
While this new initiative is an exciting opportunity to better integrate this program into the electronic prescribing workflow, it was only announced recently. Therefore, it is not something that will be developed in time for our April 28th go-live date.
What we will have related to this, at go-live, are two links within HealthONE that will make it easy for providers to log in and check the CTPMP database. After that, we will plan further review and prioritize this effort for optimization.

The 15th annual Health, Safety and Environmental Fair was held on Friday, April 6 in the Main Building Food Court. This year’s theme was “The Power of Possible” and it featured a showcase of information, giveaways, and games from UConn Health departments and partnering vendors.
Around the clock behind the scenes at UConn Health our telephone operators are handling an average of 2,100 phone calls a day during the week and an additional 700 daily calls on the weekend.
The team of 11 operators take shifts responding to a wide range of caller inquiries and supporting UConn Health’s communication needs. Operators direct general inquiries, employee calls, patient calls, staff pages, and after-hour on-call phone pages for all clinical practices including dental medicine.
Also, the telephone operators are responsible for pushing out the critical overhead and phone pages for prompt medical response for UConn John Dempsey Hospital staff to respond to time-sensitive, life emergencies such as Code Blues requiring a patient’s resuscitation and any stat anesthesia, obstetrics, or stroke patient need. In addition, they coordinate Voalte system messaging needs on the hospital floors.
“It’s important for everyone to appreciate the critical role the operators play in our institution’s operations,” stresses Dr. Scott Allen, interim chief quality officer for UConn John Dempsey Hospital. “We could not succeed without them.”
“Often times operators are the first contact someone may have with UConn Health, and those first impressions, are lasting impressions,” says Annette Karabin, UMG Call Center’s Training/Quality Assurance Coordinator. “The operators are a dedicated team that truly care about what they do.”

One of the many examples of the essential work of the operators on the frontlines is Pat Davis. Recently, the Patient Relations team received a telephone call from a UConn Health patient sharing his compliments about Pat and how she went above and beyond to help him.
“Excellent job, Pat, thank you for all that you do,” shared Karabin. “I often hear Pat on the phone when the caller is obviously anxious or upset. She has a very calm and reassuring demeanor with helping them.”
“Pat is very dedicated and thorough,” said Milissa Woodward, director of ambulatory access initiatives. “All of our operators are this good. They always get the job done.”
Woodward added: “Our group of operators are just incredible. I love working with them.”

The American Institute for Medical and Biological Engineering (AIMBE) has announced the induction of Liisa Kuhn, Ph.D., associate professor of biomedical engineering at the UConn School of Dental Medicine to its College of Fellows. Kuhn was nominated, reviewed, and elected by peers and members of the College of Fellows for advancing the translation of bone biology and mechanics to its application in regenerative medicine. Election to the AIMBE College of Fellows is among the highest professional distinctions accorded to a medical and biological engineer. The College of Fellows is comprised of the top
two percent of medical and biological engineers. College membership honors those who have made outstanding contributions to “engineering and medicine research, practice, or education” and to “the pioneering of new and developing fields of technology, making major advancements in traditional fields of medical and biological engineering, or developing/implementing innovative approaches to bioengineering education.”
A formal induction ceremony was held during the AIMBE Annual Meeting at the National Academy of Sciences in Washington, D.C. on April 9. Dr. Kuhn was inducted along with 156 colleagues who make up the AIMBE College of Fellows Class of 2018.

The Hartford Medical Society presented its inaugural award at the Medical and Dental Student Research Day 2018. Members of the Society from all over the world voted on the abstracts from eligible candidates with the last vote being cast from Zanzibar to select Nia Harris as the winner. Her project was “Filling the Therapeutic Void: Creating Guidelines for Developmental Trauma Disorder (DTD) through Film.” HMS members judged her project as the kind of research that helps doctors serving their communities, which is the purpose of the HMS award – to help advance community medicine.

Attention all UConn Health Providers who bill for services,
Prior to our HealthONE go-live on April 28, for patient safety and billing purposes, it is crucial that all clinical staff to complete and sign all clinical documentation (paper, electronic, or dictated/transcribed notes) by the following dates:
Completing and signing all clinical documentation by these dates will help us bill on time and help improve the data available in HealthONE at go-live on Saturday, April 28.
Any notes that are not completed and signed by these dates may not be billed on-time, and could potentially contribute to delays in patient care.
For more information, please visit the new HealthONE Intranet Site at:

… or email Dirk Stanley ( stanley@uchc.edu ) for more information.
Thank you,
Dirk Stanley, MD MPH

DAYS UNTIL
GO-LIVE: 18
Tuesday, April 10, 2018
Please watch this important message from Dr. Andy about HealthONE and what we need to do to be prepared for its implementation April 28.
Effective this week, HealthONE is accessible through an updated HealthONE desktop icon. This icon will serve as a replacement for the Epic PRD Hyperspace icon, which is currently available on all desktops. Please keep in mind, although the name of the icon has changed, the updated HealthONE icon will continue to allow end users to access PRD Hyperspace. To open HealthONE on your device, locate the updated HealthONE icon on your desktop and double click on the icon.
If the HealthONE icon is not available on your desktop, please call the HealthONE support line immediately at x4400, Option 1.
Note: If you see both the HealthONE icon and the old PRD Hyperspace icon, try rebooting so the new updates can take effect.
Deployment of Single Sign On for all floors of the University Tower is scheduled to take place Monday, April 16. Technicians will be installing Imprivata Single Sign On and rebooting all PC’s beginning at 6:30 a.m.
It is important that you be sure to leave all PC’s powered on to accommodate this. For support and assistance with enrolling employee’s badges during or after deployment, please call the HealthONE Command Center at x4400 option 1. Technicians will be available to provide immediate on-site assistance during the deployment.
HealthONE – Change or transformation?
Often times you’ll hear the word change and transformation used interchangeably, but did you know they are not one in the same? To help you understand the difference, here are some quick facts to keep in mind:
Our transition to HealthONE will bring many changes when we go live. However, the ongoing efforts of this project will encompass multiple, interdependent initiatives that are part of a large scale organizational transformation, which will shape the future of UConn Health and how we deliver care to our patients. It’s going to be Epic!

Following the appointment conversion weekend from Friday, April 6 – Sunday, April 8, 2018, UConn Health will go live with HealthONE’s scheduling application, Cadence, on Monday, April 9, 2018. The soft go-live of HealthONE’s scheduling application will impact end users who have a scheduling job function.
I have outstanding HealthONE training that I have not completed. Will I have access to the system at go-live?
No training. No access. No kidding. Staff who have a scheduling job function should complete their required HealthONE training by Friday, April 6, 2018. If you will not complete training by this date, please contact healthonetrainingregistration@uchc.edu.
How will staff schedule appointments with a service date that occurs on or after Saturday, April 28, 2018?
All appointments including cancellations, new and rescheduled appointments with a service date of Saturday, April 28, 2018, or beyond will be scheduled in HealthONE.
How will staff schedule appointments with service dates prior to go-live?
All appointments (cancelled, new and reschedule) with service dates prior to Saturday, April 28, 2018, will be scheduled in IDX.
Will there be support for staff during the soft launch?
Yes; go-live support will be provided by at-the-elbow (ATE) resources. ATE support will continue through go-live on Saturday, April 28, 2018, and will be supplemented with support from super users during go-live.
How can I identify an at-the-elbow (ATE) support person during the soft launch?
ATE support will wear black vests during the soft go-live and through the go-live. This will ensure that end users are able to easily identify resources.
How can I report a build/workflow issue during soft go-live?
Staff will be able to submit tickets for build/workflow issues through an ATE support person or by dialing 4400 option 1.
What are the hours of the command center during the soft go-live?
During soft go-live, the command center will be open Monday – Friday from 7:30 am to 5:30 pm to assist end users.
What information should I include when submitting a ticket?
If I am unable to perform a task in HealthONE and I need to modify my scheduling template, who should I reach out to for assistance?
All template related issues should be escalated to your manager. Once escalated, your manager will determine if your template needs to be revised in order to perform your job function.
I printed a document in HealthONE, but the document did not print in my preferred location.
Beginning on Monday, April 9, documents and labels printed within HealthONE will print to the printer located nearest to the end user. If you are experiencing issues related to printing, please verify that you are logged into the correct location in HealthONE. For additional issues related to printing, please direct your questions to an ATE or call the command center.
Where can I check for updates regarding the soft go-live?
All soft go-live communications will be posted on http://uconnhealthexpress.uchc.edu/. Please bookmark this page on your computer.
